Background
The client for this project was an art exhibitor with a robust collection of works in their inventory. This inventory was being curated on an ongoing basis, necessitating a strong tracking system. They turned to Zoho and Nimbis with a need to organize their inventory of works accessibly. In addition, they needed a PDF version of their quotes to send to clients directly. However, this was difficult because of the size of the images, and the level of detail they had to maintain as an art company.
They ultimately sought a scrollable view of their collection, as well as a streamlined means of preparing quotes for their clients. This ideal system would save them time in the preparation of their quotes, and also make their collection easily viewable for all working in their backend.
Solution

CRM
We used the Products module of Zoho CRM, renamed to serve as an “Inventory” module. This module had a record for each piece of art, as well as key information on it. We also developed a “Quotes” module, with a subform enabling our client to pull items from their inventory. From this point, our client could generate a custom pdf with images of the relevant works, alongside information regarding each piece.

Workdrive
We used Zoho Workdrive to hold all images of pieces in our client’s inventory. Upon creation of a new record, a Workdrive folder was automatically created and linked in the CRM.
Creator
One major hurdle was the need to standardize images to create a uniform view in the CRM Inventory Module. To make this accessible to our clients, we developed a Creator app linked in the CRM, where clients could upload raw images to the relevant Workdrive folder.
Catalyst
Uploading raw images through the creator app triggered a process in Zoho Catalyst. This process took the raw input image and resized it for specific uses. Finally, the system uploaded the new image back to the record’s Workdrive folder. This enabled a uniform appearance in the CRM, while maintaining the raw images that may have been needed for other processes.
Outcomes
- Automatic resizing enabled our clients to get multiple dimensioned files from one upload. This ensured their different graphic needs were met.
- The system designed had a strong overall ease of use, with intuitive uploads, integrated syncing, and quick feedback informing users of any issues in image processing
- Image standardization enabled heavy time savings, making processes feasible for our clients at scale that were previously impossible.
- The system resulted in a powerful CRM catalog, with standardized images and all relevant details in one, holistic view.
This project ultimately resulted in a strong inventory management and quoting system. We could leverage different parts of the Zoho suite to create an effective system that ultimately proved to be an effective tool for our client.
