Streamlining Client Communications with RingCentral Integration

Background


Our client for this project was a Laser Hair Removal company with several locations. They came to us seeking integration with RingCentral to automate several text messages and emails to remind clients of their upcoming appointments.




Solutions


CRM

Leads from the client’s website populated directly into their CRM. On creation of these leads, a workflow in CRM triggered a webhook that subsequently triggered a Zoho Flow.


Flow

The Zoho Flow triggered by CRM connected the Zoho system to RingCentral. This connection was used to make an automated call to the client on creation of a new lead. 

In addition to this, we also configured RingCentral to send text messages and emails at various times, including: 24 hours after lead creation if no appointment had been made, On creation of a new appointment, 48 hours before an appointment, 24 hours before an appointment, and on the morning of a new appointment.

As our client had multiple locations, and each location had its own separate RingCentral connection. 




Outcomes


  • Effective connection to RingCentral for automated calling and text messaging on creation of lead
  • Automated messaging was integrated with CRM to create a holistic client management system

This RingCentral integration was a simple but effective means of enabling automated text messaging based on defined parameters. This ensured that reminders went out as needed, without added time spent on the part of employees.
