Background
Our client, a construction company operating across multiple project types, manages a high volume of opportunities that transition into active jobs. Each project begins in Zoho CRM and follows a structured pipeline based on the type of work involved.
Following a migration from a legacy Sage desktop system to Sage Intacct, the client no longer had an existing integration in place. This created a gap in their workflow, as there was no automated way to generate projects, customers, and contacts in the new accounting system.
Overview
We implemented an integration between Zoho CRM and Sage Intacct to automate project creation and ensure alignment between sales and accounting systems.
The solution included:
- Event-triggered project creation in Sage Intacct
- Conditional customer and contact creation
- Blueprint-driven Job creation in CRM
- API-based integration between CRM and accounting
Features

CRM
Zoho CRM serves as the central system for managing Opportunities and Jobs. When an Opportunity reaches a “Closed Won” stage, it converts into a Job record through a structured process. This transition acts as the trigger for all downstream accounting actions.

Sage Intacct
When a Job is created in CRM, an API call is triggered to Sage Intacct to:
- Create a new project
- Check for an existing customer and create one if needed
- Create associated contact records when applicable
This ensures that accounting data is only created when a deal is officially won, preventing unnecessary or premature record creation.
The integration operates on a per-event basis, meaning every Job creation in CRM initiates a corresponding accounting process. This maintains alignment between sales and financial operations without requiring manual input.
Outcomes
- Projects are automatically created in Sage Intacct upon Job creation in CRM
- Customer and contact records are conditionally created, reducing duplication
- Sales and accounting systems remain aligned without manual intervention
- The client successfully transitioned to Sage Intacct without disruption
By implementing a structured, event-driven integration between Zoho CRM and Sage Intacct, the client gained a scalable and reliable process for managing project creation across systems.
