Background
Our client for this project was an accounting firm who used Zoho in combination with Quickbooks. In particular, they leveraged the Zoho Finance suite for monthly recurring accounting services, as monthly billing was a gap in Quickbooks’ capabilities. In addition, as Zoho CRM users, they wanted information to be synced between the Zoho Finance Suite, the CRM, and Quickbooks.
Solutions
CRM
We leveraged the Native Sync between Zoho CRM and Zoho Books in this system for client and contact information. This native tool was highly effective at ensuring all information was seamlessly integrated.
Books
Zoho Books served as the primary data source, initiating synchronization workflows. On creation of an invoice in Zoho Books, a matching invoice was created in Quickbooks.
This was achieved through a series of webhook triggers and workflows inside Zoho Books. In particular, on invoice creation in Zoho Books, we triggered a function that created that invoice in Quickbooks.
Billing (Formerly Zoho Subscriptions)
We leveraged Zoho Billing’s ability to create recurring invoices for this client’s monthly customers. When invoices were created in the Billing app, they were also created in Zoho Books through a native sync. In addition to this, we also created a separate function ensuring that when invoices were created in Zoho Billing, a corresponding Quickbooks invoice was triggered.
Outcomes
- Empowered the client to utilize Zoho Billing’s recurring billing capabilities
- Synced information between Quickbooks, allowing customer to continue using Quickbooks for essential accounting services
This solution ultimately empowered our client to get the best of both worlds, with features in the Zoho Finance Suite as well as features in other external applications. Solutions like this are particularly meaningful for clients who are not in a position to switch entirely to the Zoho Suite, but want to leverage key parts of it.
