Modernizing Patient Scheduling: Automating Appointments & Communication at Scale

Background

Our healthcare client was unable to effectively manage patient appointment data and communications due to limitations in their existing system structure. Custom modules used to store patient information had broken the functionality of the native Contacts module, preventing the use of automated appointment reminders.

As a result, administrators were forced to manually export a daily CSV file from their clinical system, Practice Fusion, and import it into CRM. This process only provided a single-day snapshot of appointments and required ongoing manual effort, limiting visibility into upcoming schedules and creating inefficiencies in patient communication.




Overview

To address these challenges, we performed a full system overhaul focused on restoring native functionality and introducing automation across appointment tracking and patient communications.

The solution included:

  • Migration of patient data into the native Contacts module
  • Custom permissions in the Contacts module to ensure only the correct end users were given access to PHI
  • Creation of a centralized appointment tracking system using the Deals module
  • A custom CSV appointment importer built in Zoho Creator 
  • Implementation of automated appointment reminders using Sinch MessageMedia SMS



Features

CRM

Zoho CRM was restructured to restore and centralize patient data management.

All patient records were migrated from custom modules back into the native Contacts module, allowing for proper use of built-in functionality while maintaining controlled access through permissions.

Additionally, the Deals module was repurposed and renamed to “Appointments” to track both upcoming and past appointments for each patient, creating a unified view of scheduling data.

Creator

Zoho Creator was used to build a custom application that automated the import of appointment data from Practice Fusion.

This application parses the exported CSV file, matches patients based on name and birthdate, and creates or updates appointment records within CRM.

Advanced logic was implemented to identify and update individual appointments within recurring series, ensuring accurate records without creating duplicates.

Sinch Engage

Sinch Engage (formerly Message Media) was integrated into Zoho CRM to enable automated text message reminders for patient appointments.

Using the structured appointment data within CRM, reminders were sent automatically for all upcoming appointments, improving communication and reducing missed visits.




Outcomes

This solution eliminated the need for manual data handling and restored the ability to automate critical patient communications.
