Navigating Quickbooks Migrations with a Zoho Partner

Background


Our client for this project was originally bookkeeping in Quickbooks, but made the decision to switch to Zoho Books. They came to us for assistance in facilitating this move.




Process


Analytics

To begin this process, we imported the data from Quickbooks into Zoho Analytics, using Quickbooks desktop as a data source. This data was used to create various reports on: Account Lists, Customer Contact List, Vendor Contact List, Products/Services List, Sales by Product Service, and Purchases by Product Service. 

In the case of Quickbooks migrations, many of these reports were auto-generated, however some reports that were native to Quickbooks could not be imported due to their formatting. As a result, we re-created those reports in Zoho using SQL and used desktop reports from the client to validate our work. 


We then created SQL-based tables, module by module, mapping fields based on documentation to get the Quickbooks data ready for import. 


Books

After configuring the data for Zoho Books, we examined the sample file from each Zoho Books module and compared the data formatting to that of our import tables. 

Following this, we prepared Zoho Books for the data import. We created custom fields, set up picklists, and prepared custom modules for our clients. We then proceeded with the migration, including the Chart of Accounts, Customers and Vendors, and Items. In addition, we used the Trial Balance report to migrate the Opening Balances, followed by migrating Transactions.

Finally, following the migration, we ran reports on the new Zoho Books system as a means of Quality Assurance. This allowed us to ensure that the data appeared as expected.
