Background
This client came to us with an existing Zoho CRM and Workdrive setup to improve on. Their goals were to enable uploads to record specific folders, and to enable email notifications on submission of new files. This ultimately would aid in the management of documents related to their various deals.
Solutions
CRM
We built our system around the client’s existing CRM. First, we added a button to each record to access our developed Creator app. This button enabled easy access to file uploads, and pre-filled the form with record-specific information.
Creator
We developed a custom Zoho Creator form to manage file uploads. This form was pre-filled with information specific to the lead, account, or deal it came from. From there, users could upload files intended to go to the respective record’s folder. On form submission, an email notification was triggered, detailing the files that were uploaded and their related records.
WorkDrive
This system was developed using the legacy Zoho Workdrive for CRM marketplace application. This dictated much of our approach, as we leveraged several of the in-built integrations. The system created new folders for specific records if no existing folder was present. In our system, we pushed uploaded files to the relevant Workdrive folder on form submission.
Outcomes
- Seamless file upload integration with CRM records was achieved.
- Our system made it easier for employees to ensure files were uploaded to the right place
- Managers were better able to track the uploaded files.
This simple solution enabled all of our client’s employees to better manage their document structure. By integrating Zoho CRM, Creator, and WorkDrive, we were able to ensure connectivity between CRM records and files uploaded.
