Background
The client we worked with on this project is a compliance agency that helps restaurants, bars, and other food/beverage establishments manage employee training and certification requirements. To achieve this, they use LearnUpon, a Learning Management System (LMS), to host their courses.
Problem
Our client came to us seeking a better way to enable the tracking of employee compliance so that they were able to view all aspects of their engagements in a centralized location. As such, they sought to build out a Zoho CRM system that integrated with LearnUpon. They also wanted to organize this information in a report to send to all of their client establishments, showing the current compliance status of all of the establishment’s employees.
Solutions

CRM
Our team implemented a webhook integration to pull learner enrollment and course completion data from LearnUpon to Zoho CRM. This sync allowed our client to maintain up-to-date compliance records for each establishment and learner in the CRM. We also used API-based triggers to create Users in LearnUpon on the creation of contacts in the CRM, and to trigger enrollment inactivation based on the user’s CRM status.

Analytics
We used the information in Zoho CRM to create reports for each establishment, summarizing compliance needs across all learners. We used custom logic to determine the types of compliance training needed as well as their current status. We also added widgets at the top of this Analytics dashboard, with summaries of the number of outstanding trainings for each type, as well as the total number of active learners.
Outcomes
- Streamlined view of training statuses from within Zoho CRM, enabling a more centralized view
- Automatic sync reduces manual workload associated with maintaining the two streams of data
- Automatic report updates enable establishments to easily view statuses across all employees without extra work on our client’s part
This implementation was a great example of how B2B companies using Learning Management Systems can leverage Zoho CRM for increased visibility, organization, and customization, helping them to achieve their business goals. By integrating LearnUpon with Zoho CRM, we enabled our client to unlock the robust potential of Zoho CRM without the added workload of maintaining the two separate systems.
